Business card and letterhead checklist before you print

Eightweave project notesReviewed 12 October 2026

Prepare the exact details for each person, confirm the card and paper sizes your printer uses, and decide whether you need print-ready files, editable templates or both. Ask your printer for their bleed, colour and file requirements before the design is finalised, and proofread a printed sample before ordering.

Collect the exact details for every card

Write each person’s name, role, phone number, email and any social handle exactly as it should appear. Separate the details everyone shares, such as the address and website, from the details that change per person.

  • Name and role, as the person wants them printed.
  • Direct phone, WhatsApp number if different, and email.
  • Shared details: business name, address, website and social profile.
  • Languages: English only, or English and Telugu.

Confirm sizes with your printer

In India and the United States, business cards are commonly 3.5 × 2 inches (about 89 × 51 mm); 85 × 55 mm is common in much of Europe. Letterheads are usually A4 (210 × 297 mm), or US Letter (8.5 × 11 inches) in the United States and Canada.

Printers usually ask for bleed, extra artwork beyond the trim line, commonly 3 mm on each side. Ask which bleed, colour mode and file format they need, and whether they want crop marks.

Use QR codes that keep working

A QR code should open something useful: your website, portfolio, menu, location or a WhatsApp chat. Point it at an address you control, so the printed code still works if your pages change, and test it on several phones before printing.

Decide how your letterhead will be used

If most letters leave the office as PDFs, an editable Word or Google Docs template matters more than printed sheets. If you print quotations or certificates, pre-printed letterheads may still be useful. Many businesses need both.

Some details, such as a registered office address or tax registration number, may need to appear on business documents. Confirm what your letters must show with your accountant or company secretary.

  • Registered business name and address.
  • Registration numbers such as a GSTIN or CIN, if your documents must show them.
  • Phone, email and website.
  • Space for signatures and a company stamp.

Proof before you print

Check every name, number and email address on a printed proof, not only on screen. Small type that looks clear on a monitor can be hard to read on a card.

Eightweave provides proofs for review and the final print-ready files. Printing is arranged separately unless your quotation includes it.
